The post holder will be responsible for the day-to-day supervision of a team of administrators responsible for absence reporting, HR transactional admin and eRoster. You will be expected to conduct regular 1:1s, appraisals and act as an escalation point for the administration teams.

The post holder will support in the maintenance of ESR and roster work-structures to ensure all organisations and positions reflect the Trust structure.  As well as acting as an escalation point to resolve queries in respect of ESR and e roster functionality.

As Team leader you will be responsible for ensuring appropriate quality systems are in place to support the accurate processing of all payment into the ESR and e roster systems.

The post holder will support in the production of routine workforce reports and be able to manipulate data into formats that are user friendly and be used at all levels throughout the trust. The post holder must have skills to interpret people data into meaningful information for customers with a keen eye for detail and data quality to ensure the information we provide to our stakeholders is accurate, consistent and enables oversight of key people metrics.

Main duties of the job

This post plays a key role supporting the People systems managers to be the first point of contact for ESR and E Roster users and providing advice and support as required.

Ensure all Payroll and HR admin transactions are completed within agreed timescales and regular audits and checks are in place to maintain accuracy.

Act as supervisor for a team of administrators responsible for the absence reporting for the Trust, conducting regular 1:1s and acting as escalation point for any absence reporting queries.

Act as escalation point for all People Systems queries from the team of people systems administrators, escalating to the People Systems manager as appropriate.

The post holder will support the production of management information for Trust people committee and management board and developing other workforce management information report, liaising with colleagues at all levels across the trust. The post holder will support in the production of routine and complex workforce reports and people data and must have the skills to be able to interpret and articulate people data into meaningful information for our customers.

The post deals with key stakeholders of the ESR and e roster systems: including, the Trusts payroll provider, Management Accounts, Training and Development and ESR and e roster users throughout the Trust as well as external agencies such as IBM and other external stakeholders.

  • Ability to work to tight deadlines (i.e. payroll) and effectively manage own workload
  • Excellent communication skills and effective communicator at all levels

Experience

Essential criteria
  • Experience in the use of ESR, eRoster and other People Systems
  • Experience supervising a team or colleagues (within admin setting)
  • Production of data ensuring data quality is maintained (using BI, Excel or similar workforce systems)
  • Experience in a system support role, supporting key stakeholders.
Desirable criteria
  • Experience in support projects / delivering change projects
  • Previous experience of managing admin team within the People Systems (NHS)

Training / Communications

  • Previous experience of delivering training/training others
  • Excellent communication skills
